Whetstone Healthcare Consulting LLC ("we," "us," or "our") operates the MIRROR MI Trainer platform. This Privacy Policy explains how we collect, use, and protect your information when you use our Service.
Account Information: When you register, we collect your name, email address, professional credentials, and user type (e.g., practitioner, student, educator).
Payment Information: Payment processing is handled by Stripe. We do not store your credit card numbers. We retain your Stripe customer ID and subscription status.
Usage Data: We collect data about your interactions with the Service, including practice session transcripts, scores (BEACON and exercise-level), exercise completions, and learning module progress.
Submitted Transcripts: If you use the transcript analysis feature, the text you submit is processed by our AI and stored with your account. Do not submit transcripts containing real patient names or protected health information (PHI).
Technical Data: We may collect browser type, device information, and IP address for security and analytics purposes.

Your practice sessions and submitted transcripts are processed using AI models (including Anthropic's Claude) to generate feedback, scores, and coaching suggestions. This processing is essential to the Service's functionality. AI-processed data is associated with your account and used solely to provide personalized feedback and track your progress.

If your account is part of a classroom or institutional subscription, your instructor or program administrator may have access to your aggregate performance data (e.g., BEACON scores, exercise completion rates). They will not have access to the content of your individual practice sessions unless you explicitly share them.
We retain your account and usage data for as long as your account is active. If you cancel your subscription, your data is preserved in case you resubscribe. You may request complete deletion of your account and all associated data by contacting support@mimirror.health. We will process deletion requests within 30 days.
We implement industry-standard security measures including encrypted data transmission (TLS/SSL), secure authentication via Supabase, and access controls on our infrastructure. However, no method of electronic transmission or storage is 100% secure, and we cannot guarantee absolute security.
MIRROR MI Trainer is an educational tool and is not designed to be HIPAA-compliant. Do not enter real patient names, medical record numbers, or any protected health information (PHI) into the platform. If you use the transcript analysis feature, you are responsible for de-identifying any clinical transcripts before submission.
We use essential cookies for authentication and session management. We do not use third-party advertising cookies. We may use privacy-respecting analytics to understand usage patterns.
You have the right to: access your personal data, correct inaccurate data, request deletion of your data, export your data, and withdraw consent for optional processing. To exercise these rights, contact support@mimirror.health.
You may request complete deletion of your account and all associated data at any time. To do so:
Upon receiving your request, we will delete the following within 30 days: your account profile and credentials, all practice session transcripts and recordings, performance scores and progress data, any submitted transcripts, and payment metadata (Stripe customer ID). Note that Stripe may retain separate records of transactions per their own retention policies.
The Service is intended for adults (18+) pursuing professional development. We do not knowingly collect data from children under 18.
We may update this Privacy Policy from time to time. Material changes will be communicated via email or an in-app notice. The "Last updated" date at the top indicates when the policy was last revised.
